  • Minutes and meeting recording provided via the Client Portal.

The Engagement Meeting aligns your team and ours before work begins. You will leave with a confirmed scope, clear responsibilities, agreed timescales, and access to your Client Portal. It sets the foundation for a smooth and accountable program.

Every Fixinc program begins with an Engagement Meeting. This one-hour session, led by your Program Manager, ensures alignment on scope, priorities, and expectations before any work begins.

The meeting is held virtually via Teams, Zoom, or Google Meet, though in-person sessions can be arranged where feasible. Attendees should include yourself and any key program sponsors who will be closely involved in the rollout. Some clients also invite an executive sponsor to build early buy-in and confidence in the implementation plan.

The agenda covers:

  • Scope of Work: Confirming the program scope and ensuring mutual understanding.
  • Priorities and Responsibilities: Assigning ownership and agreeing on workflow.
  • Timescales: Reviewing tentative milestones and deliverables.
  • Client Portal Setup: A walkthrough of the portal, its features, and setting up your accounts.
  • Outcomes and Objectives: Aligning on what success looks like.
  • Next Steps: Defining immediate actions to maintain momentum.

The meeting is scheduled within seven days of accepting your proposal. Minutes and a recording are shared via the Client Portal for future reference.

Highlights
  • Deliver a 2-hour training session for Incident Management Team members and frontline responders.
  • Build awareness of the current threat environment using real threat intelligence.
  • Cover core incident management principles including incident phases and assessment frameworks.
  • Train participants on practical use of your Incident Management Plan.
  • Include interactive activities for incident assessment and situational awareness.
  • Delivered in-person for maximum engagement.
  • Coordinate pre-training bookings and maintain participant records.
  • Schedule multiple sessions for organisations with multiple sites or teams.

This component delivers a 3-hour training session for your Incident Management Team and frontline responders, building the skills and leadership capabilities needed to manage incidents effectively at the site level. The curriculum combines threat intelligence, incident management principles, and practical application of your Incident Management Plan.

Incident Management Training builds the awareness, skills, and leadership capabilities your frontline teams need to manage incidents effectively at the site level. This 2-hour program is designed for staff with incident management responsibilities, using current threat intelligence, real-world case studies, and interactive activities to develop practical expertise.

The session delivers the following key outputs:

Understand the current threat environment: We use current threat intelligence, including insights from sources such as the World Economic Forum Global Risks Report, to build awareness of the risks your organisation faces. Participants learn how to interpret and apply threat information in their own context.

Identify incident management principles: The session covers core incident management concepts including what constitutes an incident, the phases of an incident, and the Incident Response Diamond framework. An incident assessment activity gives participants the opportunity to apply these principles.

Demonstrate use of the Incident Management Plan: Participants work through your Incident Management Plan, covering initial actions, activating resources, managing the incident, standing down, and conducting post-incident reviews. A situational awareness activity reinforces practical application.

We recommend having an Incident Management Plan in place before this training. The session is designed to build capability and culture around your plan, ensuring the investment in both the plan and the training delivers lasting value.

Fixinc's Learning and Development division coordinates all pre-training bookings and maintains training participant records. For larger organisations with multiple sites or teams, additional sessions can be scheduled to ensure full coverage.

Business Continuity Scenario Exercise

Highlights
  • Review and approve exercise plan.
  • Review and approve scenario and run sheet.
  • Attend 3-hour desktop scenario exercises.
  • Review and approve post-exercise report. ‍

This component formally validates your resilience plans and response capability through a deeply researched, realistic scenario exercise. Your team will be tested under pressure, gaps will be identified, and you will have a clear benchmark of where your maturity sits today.

Exercise Planning

Validating a Response Plan and Procedures is essential to:

  • Confirm the Recovery procedures are accurate.
  • Confirm timeframes regarding the restoration of Critical Business functions and recovery of systems.
  • Build familiarisation with staff roles, responsibilities, processes and available tools.
  • Identify practical program improvement.
  • Provide a high level of stakeholder confidence in the organisations recovery capability.

Exercise Plan

After the planning meeting, Fixinc will draft an exercise plan that outlines all necessary information for the exercise program, including:

  • Exercise objectives
  • Exercise methodology
  • Exercise scope and scale
  • Communications
  • Roles and responsibilities
  • Resource requirements
  • Timeframes and timescales
  • Internal exercise participants
  • Performance criteria

‍Exercise Development

Fixinc will establish and arrange all necessary components for the organisations exercise program, including:

  • Selection and development of the preferred exercise scenario.
  • Creation of exercise schedules that outline all inputs and interactions during the exercise.
  • Involvement of both internal and external participants in the exercise.
  • Selection and briefing of exercise volunteers.
  • Conducting briefings for participants in the exercise.

Exercise Delivery

Fixinc will design a two-part, scenario-based exercise delivered across a morning and afternoon session.

The morning exercise will be a facilitated, step-by-step walkthrough of a realistic, event-driven scenario. This session will focus on building shared understanding, reinforcing roles and processes, and guiding participants through key decision points with active facilitation and discussion.

The afternoon exercise will transition to a more immersive and intensive format. Participants will respond to the evolving scenario with minimal facilitator guidance, working independently as they would in a real event. Dynamic injects will be introduced to test decision-making, coordination, and the practical application of plans and procedures within a managed exercise environment.

On the day of the exercises, Fixinc will have a lead facilitator oversee the program, with support from additional Fixinc staff, in coordination with representatives from the organisation and other relevant parties. The role of Fixinc during the exercise will be to:

  • Manage the flow of information and inputs related to the exercise scenario.
  • Provide structure and formality to the exercise process, ensuring teams remain focused and on task.
  • Monitor and record the efficacy of organization's response and recovery procedures.
  • Document all relevant issues as they arise during the exercise.
  • Discover any discrepancies or gaps in the organisation's Incident response processes.
  • Conduct immediate debriefings with participants in the exercise.

‍Post Exercise Activity

After the conclusion of the exercise program, Fixinc will deliver:

  • A full exercise report that details the key activities conducted, evaluations against established criteria, and recognition of crucial shortcomings to be addressed.
  • Advice on ways to enhance the program even further.
  • Follow-up and implementation assistance as necessary.

Maintenance Program

The Fixinc Maintenance Program is a 3-year partnership designed to build resilience maturity, blending expert advisory, smart technology, and structured momentum so your business can prepare, respond, and thrive through disruption. This program is a way to maintain momentum with very little resource allocation.

This program is designed to keep up with your risks. Never question your capabilities again.

This program ensures a business can survive through any disruption by modernising plans, introducing practical software, and building a culture of resilience; all done under budget and on time.

The Maintenance Program follows the best practice guidelines of the Business Continuity Institute (BCI) and all core components of the ISO 22301:2019 standards at a fraction of the cost and resource of traditional programs. We're showcasing this now on the off-chance you wish to continue to work with Fixinc for the longhaul. This program will save you significant budget and maintain momentum.

Phase 1

Initial Activities

We will plan and schedule the deliverables through a comprehensive engagement workshop featuring Fixinc and your program stakeholders.

Phase 2

Mid-year health check

We will conduct in-person, on-site reviews and checks, utilising threat intelligence to stay relevant and ensure nothing has developed over the last few months.

Phase 3

Validation activities

We will validate everything in place across the entire organisation. We will practice, build confidence in your team, and evolve a culture of resilience.

Phase 4

Preparing for next year

At this point, we would have completed all components in your Maintenance Program. If any disruptions have occured, we will debrief these. If any changes to the organisation have occured, we will plan accordingly.

If Fixinc isn’t the right fit (whether it’s timing, budget, or needs) we’ll still share insights, resources, and threat intelligence to help you stay informed. Program FAQs

Our programs can start within the day of signing your proposal (schedules permitting). However, we like to have our Program Engagement Meeting at least within 7 days. If it's a smaller program and more urgent, we can look to start within 48 hours.

Specific program terms are found in the T&Cs linked below in the meta area. In most cases, we ask for an engagement fee to be settled within 14 days of signing this program's proposal (usually 30%). However, we can be flexible with payment terms that follow your procurement policy. All we ask is that this is shared after accepting this proposal and before the engagement meeting so we can plan accordingly.

To streamline the process, you will get a link to share procurement information with us after signing. This allows you to share your Accounts information so we can connect directly with them.

It's much less than you might think. Our team is able to do a lot of the heavy lifting for you. On occasion, we may need staff for meetings (like with BIAs), however this never usually goes over an hour. Training sessions require a little more input, but are still very reasonable (a few hours in total). We specifically make a point of reducing the time and resources from your team as this is commonly the biggest reservations for starting a program.

This often depends on the program itself. We want to ensure additional work does not disrupt the momentum of your current program. However, we can run programs alongside one another, or provide a separate scope and quote to start something immediately once this is finished. Speak to us about our Maintenance Program as this can cover multiple programs in one.

You can find specific clauses in your terms regarding our policy, however we aim to be as flexible as possible to our clients; things happen, we understand. In most cases, it's simply 30-days notice with the Engagement Fee acting as a non-refundable deposit. Instead of cancelling, you can also put programs on hold if necessary. This pauses all work and future invoices until you're ready to revisit.
